Frequently asked questions
GotFreight is an AI freight sales rep and CRM built for freight brokers and asset carriers. It finds shippers, writes and sends personalized cold emails from your own inbox, sorts the replies, drafts quotes, and tracks the whole pipeline so you can focus on closing freight instead of chasing it.
Below are the questions we hear most often, from how the email sending actually works to deliverability, compliance, credits, pricing, and data privacy. If something isn't covered here, email us at admin@gotfreight.io and a human will get back to you.
- What is GotFreight?
- GotFreight is an AI sales rep plus CRM for freight brokers and asset carriers. It autonomously prospects shippers, researches each company, writes personalized cold emails in your voice, and sends them from your own connected inbox. When prospects reply, it reads the conversation, flags hot leads, and helps you draft quotes — all tracked inside a built-in CRM pipeline. Think of it as a tireless SDR that books freight conversations while you run your operation.
- How does GotFreight actually work, step by step?
- The pipeline is discover → enrich → research → write → send → reply handling. First it discovers shippers that match your lanes and equipment using B2B data and freight signals. It enriches each contact, then researches the company on the web for a genuine, specific hook. It writes a short, human-sounding cold email, verifies the address, and sends it from your inbox during business hours at a safe volume. When replies come in, it classifies intent (interested, not now, wants onboarding, etc.), alerts you to hot leads, and helps you respond and quote. Everything lands in your CRM.
- Who is GotFreight for?
- It's built specifically for freight brokers and asset-based carriers who want consistent outbound to shippers without hiring and managing a sales team. Whether you're a one-person brokerage trying to fill trucks, a growing brokerage that wants a repeatable outbound motion, or an asset carrier looking to land direct shipper freight, GotFreight handles the prospecting-to-conversation grind. It understands freight context — lanes, equipment types, drayage, final-mile, warehousing — so the outreach actually sounds like it came from someone in the industry.
- Does it really send from my own email — Gmail, Outlook/365, or SMTP?
- Yes. Emails go out from your own mailbox, not a shared GotFreight domain. You connect Gmail or Microsoft 365/Outlook in one click via OAuth (you authorize once, no passwords stored), or connect any other provider with standard SMTP/IMAP credentials. Because it's your real inbox, replies land in your inbox, your existing signature and sending reputation carry over, and prospects see a normal email from a real person at your company.
- Do I have to mess with DNS or technical email setup?
- Not for the connection itself. With Gmail or Microsoft 365 OAuth, you click authorize and you're connected — no DNS changes, no API keys, no copy-pasting tokens. It's auto-authenticated through Google and Microsoft's official OAuth, so sending is handled securely on your behalf. That said, for the best long-term deliverability we strongly recommend setting up SPF, DKIM, and DMARC on your sending domain, and GotFreight shows you a badge indicating whether those are in place so you know where you stand.
- Will sending cold email hurt my domain or land me in spam?
- We engineer hard against that. GotFreight ramps your sending volume gradually with a warmup schedule instead of blasting from day one, keeps daily volume low and deliberate, and personalizes every message (no mass-identical blasts that trigger spam filters). It verifies each email address before sending to cut bounces, sends only during business hours, and spaces messages out. Bad lists and high bounce rates are what wreck domains — we filter aggressively to avoid that. You'll still want SPF/DKIM/DMARC configured, and we surface that status so nothing's a surprise.
- Do I need to bring my own list of contacts?
- No. GotFreight finds shippers for you — that's a core part of the product. You tell it your lanes, equipment, and ideal customer profile, and it sources matching shipper contacts automatically. If you do have your own list or existing relationships, you can absolutely bring them in, but a list is not a prerequisite to get value.
- How does it find shippers?
- GotFreight combines premium B2B contact data with freight-relevant signals and live web research to identify companies that actually ship the kind of freight you move. It looks at company profile, industry, and lane fit, then researches each one to personalize the outreach. There's also a standout Bill of Lading feature: upload a BOL and it auto-enrolls the shipper and receiver as lane-matched leads, turning your existing freight history into new prospects.
- Is what I'm doing legal? Is the cold email CAN-SPAM compliant?
- Honest answer: GotFreight gives you the tools to send compliant outreach — every email includes a proper identifying signature with your business details and an opt-out/unsubscribe mechanism, which are core CAN-SPAM requirements. But you are the sender and you are responsible for how you use it. You must have a lawful basis to contact recipients and comply with the laws that apply to you (CAN-SPAM in the US, CASL in Canada, GDPR in Europe, TCPA, and others). GotFreight provides the compliance features; it does not provide legal advice and can't guarantee your specific use is compliant. Please read our Terms of Service, which spell this out.
- How do reply handling and hot-lead alerts work?
- When a prospect replies, GotFreight reads the message and classifies the intent — interested, asking for a quote, not right now, wants to set you up as a carrier/vendor, unsubscribe, and more. Hot leads get surfaced and alerted so you can jump on the warm ones fast instead of digging through your inbox. For setup/onboarding replies it can even extract the relevant link or next step for you. You stay in control: you review before anything important goes back out.
- Can I customize the AI rep's voice and style?
- Yes. GotFreight ships with six distinct AI sales personas, each with its own opener style, qualifying questions, and angle — so the outreach doesn't sound like a template factory. You pick the persona that fits your brand and the kind of relationship you want with shippers, and the emails are written in a genuinely human, non-robotic voice. The goal is messaging that reads like a sharp salesperson wrote it, not an obvious AI blast.
- What about quotes and rates?
- GotFreight helps you draft quotes right inside the lead conversation and tracks each quote through its lifecycle — draft, accepted, or lost — including loss reasons and competitor intel. It surfaces win-rate and win/loss insights by lane so you can see what's actually closing. Where rate data providers are connected, market rate context can inform your quotes. As with all AI output, treat generated quotes and rates as a starting point and confirm the numbers before you commit to a customer.
- What is the Bill of Lading feature?
- It's one of GotFreight's most powerful tools. You upload a Bill of Lading and it automatically extracts the shipper and receiver and enrolls them as new, lane-matched leads — turning freight you've already moved into your next prospects. It's built privacy-first: GotFreight extracts what it needs to create the leads and discards the rest, and lane claims are region-gated. It runs on credits (roughly 17 credits per BOL).
- How do credits work?
- Credits are the usage currency for the work GotFreight does on your behalf — things like prospecting, web research, sending, reply handling, and BOL ingestion each consume credits. Your plan includes a monthly allotment of credits, and you can buy additional credit packs whenever you need more volume. Your dashboard shows a live usage meter with a breakdown so you always know what's being used and what's left, plus per-tier daily guardrails to prevent runaway usage.
- What does it cost, and can I cancel anytime?
- GotFreight starts with a free trial so you can try it before paying. Paid plans are $299, $499, or $899 per month depending on volume and features, plus optional credit packs if you need more usage than your plan includes. It's month-to-month — you can cancel anytime, and you won't be billed for the next cycle after you cancel. See the pricing page for the current details of each tier.
- What happens to my data — is it private and secure?
- Your data is yours. GotFreight stores it in secure, access-controlled cloud infrastructure, isolates each customer's data from every other tenant, and keeps secrets like your inbox tokens encrypted and tenant-isolated. Crucially, GotFreight's use of data from Google APIs and Microsoft Graph adheres to limited-use requirements: your mailbox tokens are used only to send and read your own mail to provide the service — never sold, never used for advertising, and never used to train AI models. We work with a small set of vetted providers for payments, contact data, AI, and email delivery, each bound to use your data only to serve you. Full details are in our Privacy Policy.
- How fast can I get started?
- Quickly. Connect your inbox via OAuth (one click for Gmail or Microsoft 365), complete a short onboarding that sets your identity, lanes, equipment, and ideal customer profile, and you're ready. GotFreight has a readiness gate that holds prospecting and sending until your inbox and identity are properly set up — that protects your deliverability and makes sure your first emails go out correctly. Most users are up and running the same day. We recommend letting the warmup ramp do its thing in the first couple of weeks before scaling volume.
